How to Run a School Fun Run Fundraiser Without a Vendor
A step-by-step playbook for PTOs that want to run their own fun run - and keep far more of what families give.

Full-service fun-run companies are popular for a reason: they make it easy. But that convenience can come with a large share of your proceeds. With the right tools, a small PTO committee can run the same event and keep far more of every dollar.
What a vendor actually provides
Strip it down and a fun-run vendor typically provides four things:
- Pledge pages for every student.
- Tracking and totals by student, class, and school.
- Reminders to families during the pledge period.
- Event-day energy - the assembly, the course, the music.
The first three are software. The fourth is the part your school community is already great at.
The DIY playbook
Four weeks out
- Set your goal and pick your event date.
- Decide on incentives (a class party for the top classroom works wonders).
- Create your campaign and a team for each classroom.
Three weeks out
- Add students to the roster with a parent or guardian email as a contact.
- Name a room parent as each classroom’s team leader.
- Apply a ready-made email schedule: kickoff, midpoint, “two days left,” and a thank-you.
Kickoff week
- Send each family their child’s personal page link.
- Share the campaign goal in your newsletter and at pickup.
Event day and after
- Run! Then send your final-push email.
- Record cash and checks against each student’s page.
- Celebrate your total and thank families.
The math
On a platform where donor tips can offset the fee, a $50 pledge with a typical tip can mean your school keeps the entire $50. Multiply that across hundreds of families and the difference pays for real things: playground equipment, field trips, classroom supplies.
